New Year party staff in Copenhagen: plan the evening from arrival to close
New Year's Eve brings several service moments close together: arrivals, dinner, speeches, the midnight toast and the move into late-night entertainment. A clear staffing plan connects those moments and explains who is responsible for each one.
Use this guide to prepare the brief for New Year staffing in Copenhagen. Availability depends on the assignment and needs confirmation; there is no need to assume every venue or agency has the same booking situation.
Map the evening before choosing headcount
Begin with the running order. Record when guests arrive, when food is served, when speeches or performances happen and how the midnight toast will be organised.
Note any changes of room or service style. A seated dinner followed by dancing can require table clearance while bar service continues. If guests go outdoors at midnight, explain how they leave and return, and which areas remain staffed.
Describe the expected guest count and the venue's existing team. The appropriate number of staff depends on the tasks, layout, service standard and timing, not a universal guest-to-staff ratio.
Separate the responsibilities
Waiters, bartenders, runners and hosts have different jobs. Make it clear who welcomes guests, manages the cloakroom arrangement, serves dinner, supports the bar and clears the room.
If a head waiter, head bartender or manager is needed, include that role explicitly. The organiser should know who coordinates timing and who can make a decision when the programme changes.
Confirm what the caterer and venue already cover. Food preparation, dishwashing, specialist security and final cleaning are separate responsibilities to agree; they should not silently become extra tasks for the serving team.
For a dinner-led event, review waiter hire. For the drinks service, start with bartender hire.
Treat midnight as its own service
Agree where drinks will be prepared, how they reach guests and who gives the signal to begin. Include alcohol-free options in the plan and check where glasses and supplies will be stored.
Walk through the sequence with the venue and bar lead. Preparing a toast while running an ordinary drinks queue may require a different allocation of staff than the earlier part of the evening.
Have a clear organiser contact for last-minute changes. The goal is a practical service plan, rather than a promise that every guest can be served within a fixed number of minutes regardless of layout or headcount.
Make overnight shifts unambiguous
Write the calendar date, start time and finish time for every shift. For an assignment starting on 31 December and ending after midnight, show that the finish falls on 1 January.
Include preparation and the agreed closing tasks. Confirm whether staff will clear tables, return equipment, handle a cloakroom handover or support another team at the end.
The booking form supports four- to thirteen-hour shifts. If the overall event needs longer cover, discuss separate shifts or another suitable arrangement with the coordinator. Agree any handover and breaks with the responsible organiser.
Budget beyond the service fee
Copenhagen Staff shows staff wages, service fees, holiday pay and VAT as separate amounts. Normal service fees are DKK80 per staff-hour for standard roles below ten people, DKK65 for standard roles in bookings of ten or more people, and DKK95 for specialist roles.
The agreed wage is additional. The calculation adds holiday pay at 12.5% of wages, then VAT at 25% of the combined subtotal. If a dated offer applies to the shift, the calculator reflects it. Do not multiply a service-fee figure alone and present that as the total staffing cost.
Use the current calculator with your exact role mix and shift dates. The pricing page explains the components, and the final arrangement is confirmed in the quote.
Prepare arrival and closing instructions
Send the staff entrance, venue contact and clothing requirements before the shift. If guest access differs from staff access, make that distinction clear. Explain where personal belongings can be stored and where the team should meet.
For a late finish, discuss practical departure and access arrangements with the venue. Agree who signs off the handover and how unfinished work or an incident is reported.
For international guests, specify language requirements for each guest-facing role. Use the English-speaking event staffing guide to prepare a briefing that the whole team can use.
Send the complete request
Your enquiry should include the address, dates, start/end times, guest count, service format, requested roles and the venue's existing staff. Add the midnight plan and any essential language or experience requirement.
Request New Year staff for an estimate and availability review. If a gap appears close to the event, contact the team through urgent staffing with the revised requirement; cover remains subject to confirmation.
