Warehouse staffing in Copenhagen: a practical guide to temporary cover

·4 min read

A warehouse staffing request is easier to fulfil when it describes the work behind the headcount. Ten people packing small parcels need a different introduction from ten people receiving deliveries, moving stock or preparing mixed orders.

Whether you need absence cover, extra hands for a peak or support across several shifts, start with the workflow. This guide explains what to include when requesting warehouse staff in Copenhagen.

Define the task and the working area

Break the assignment into positions rather than asking for a general number of warehouse workers. The booking form includes picking and packing, warehouse workers, stock replenishment, goods receiving and a forklift-certified role.

For each position, describe what the person will handle, where the task happens and who checks the work. Useful details include the size and weight of goods, scanning requirements, packing materials, stock locations and whether employees will rotate between tasks.

If machinery is involved, identify the equipment and the exact qualification needed. Request confirmation of a suitable match before relying on a certification or experience level. A generic role label does not establish permission to use every machine on your site.

Plan capacity around the bottleneck

Extra headcount helps only if the rest of the operation can support it. Check whether there are enough scanners, workstations, supervisors and safe working areas for the proposed team.

For example, a delayed carrier collection may create pressure at dispatch while picking remains on schedule. In that case, explain the dispatch work and collection window rather than requesting a broad increase across every function.

Share the daily pattern too. An early goods-receiving peak and an afternoon packing peak may need different shift times. Confirm which tasks can be reassigned when volumes change and which require specific experience.

Include induction in the shift

Temporary staff still need to understand the site. Make a named supervisor available to explain access, pedestrian routes, equipment boundaries, emergency arrangements and the relevant working procedures.

Allow time to demonstrate the task and check the first completed work. For picking, that might mean showing the scanner steps and what to do when stock cannot be located. For packing, it could include the packaging standard, labels and the process for damaged items.

Agree clothing and any required protective equipment in advance, including who provides it. Do not assume that staff arrive knowing a site-specific system or layout.

Write a brief for repeat shifts

For recurring cover, keep a short working brief that can be updated as the operation changes. Record the arrival point, supervisor, assigned area, main tasks and the handover at the end of the shift.

Tell the coordinator when familiarity with the site would be particularly helpful. Returning staff can be requested, but availability needs confirmation for each booking.

After the first shift, share concrete feedback: which tasks went well, what needed more explanation and whether the planned hours matched the workload. That gives the next booking a clearer starting point than a general request for “more experienced people”.

Budget for the complete assignment

Copenhagen Staff's calculation separates wages, service fees, holiday pay and VAT. Normal service fees are DKK80 per staff-hour for standard roles below ten people, DKK65 for standard roles in bookings of ten or more people, and DKK95 for specialist roles. Forklift-certified work is a specialist role in the booking system.

The employee's agreed wage is added to the service fee. Our calculation then adds holiday pay at 12.5% of wages and VAT at 25% of the combined subtotal. Applicable dated offers are calculated using the shift dates.

Use the staffing calculator and pricing page for the current breakdown. Include induction, working time and agreed close-down tasks in the hours. A fee per hour alone is not a complete staffing budget.

Handle urgent gaps with a specific request

When a shift is already approaching, send the address, start time, essential tasks, minimum experience and a reachable site contact together. Mention which requirements are essential and which can be covered through induction.

Availability depends on the role, notice and assignment. An enquiry does not guarantee a particular arrival time or team size. Use our urgent staffing page to explain the immediate gap, and keep the operational fallback with your site manager until cover is confirmed.

Warehouse booking checklist

  • Task and work area for each requested role.
  • Dates, start/end times and number of people per shift.
  • Equipment, scanning systems and experience requirements.
  • Arrival instructions and the supervisor's contact details.
  • Clothing, protective equipment and induction arrangements.
  • Handover, quality checks and the process for reporting problems.

Request warehouse staff with these details, or contact the team to discuss a recurring or multi-shift requirement.
